Looking for a fun, fast paced environment with a great team culture? We are searching for an admin superstar to run the office of a busy auto electrical and mechanical workshop.
About the team and your place in it
Our team of 9 are all down to earth and highly skilled good guys and girls, the salt of the earth type that typify the good Kiwi workplace. Our customers are also a great bunch.
After many years our Office Manager is off on her next adventure. We're looking for a special person to replace her, to keep the wheels turning in this busy office, and to do so with a smile!
The workshop is vibrant and busy, so you will need your sense of humour! You'll not only be the Office Manager, you'll also be responsible for social media marketing, admin, service booking, you'll greet our customers and much more.
This is an awesome team of down to earth trade professionals who are great at what they do. Whether it be talking with the techs, suppliers, charming the customers, or the more serious job of ensuring the accounts and office management work is completed on time and accurately, there is much to like about this role.
Workshops can be a little non-PC at times, but everyone is professional and respectful. We have a great reputation and our customers love us…we like them too…most of the time!
The serious bit, yes sadly you do need skills and experience and they are outlined below:
- GST, FBT, payroll, debtors and creditors, accounts banking, invoicing etc.
- Entering invoices into fleet/company systems
- Insurance and invoices
- Quotes
- Correspondence as needed including daily emails
- Printing/ordering of stationery etc.
- Sending vehicle reminders monthly
- Reception - eftpos, payments, bookings, customer liaison, walk ins
- Phones - bookings and accounts queries
- Nagging, waving pens, and being able to lift your left eyebrow that says you don't approve without saying a word…. see, it's not all serious

Skills needed
Proficiency with Xero accounting software coupled with strong communication skills is needed. You will have excellent keyboard skills and be able to navigate most common software programs.
Previous experience as an Office/Administration Manager or similar is required, preferably in a similar environment.
You will need to understand the role of Office Manager, have proven admin skills and be able to work our office systems.
Wouldn't it be great if you have already had experience in an office that is a service business like automotive, electrical, service installations or some sort of trade related business? This is probably way too much to ask so we will keep an open mind here but either way you will need to have pretty darn good office skills!
Ideally you'll live within 35 minutes or so or alternatively have an unusual desire to get caught in traffic every day. Let's not forget we are located in Albany so realistically you need to be on the Shore, in West Auckland, or at least no further than the big smoke of Auckland. Yes, this is not a work from home job where you get lonely talking to a computer screen all day, we actually want to see you every day and enjoy your company….told you we are a friendly lot!
What's on offer
The role involves coming into the office 4 days a week but we are flexible for you Supermums or Superdads out there or those with caring responsibilities. Let's talk about what works for you but also not forget we get pretty busy.
